What can the finance settings change?
Last verified October 18, 2026
The Finance settings page sets the rules your team's orders, expenses and reimbursements are held to, plus currency, income tracking, spending alerts and closed seasons. Open it from Finance rules in the Settings section of the sidebar.
You need: Manage budgets
Where to find it
In the sidebar, under Settings, click Finance rules (/team-management/finance/settings). The page is titled Finance settings. Change what you need and click Save settings at the bottom.
Who can see budgets and dollar amounts isn't set here. That's per role, under Settings > Roles, with View finances and See dollar figures on orders.
Tracking & visibility
| Setting | What it does | Starts as |
|---|---|---|
| Currency | What amounts are counted in. Switching relabels existing amounts; nothing is converted. Fiscally sponsored teams are always in US dollars. | USD |
| Track income & balance, not just expenses | Opens the Fundraising page and lets you set a Starting balance. | On |
Order requests
| Setting | What it does | Starts as |
|---|---|---|
| Auto-approve requests up to | Requests at or under this amount skip approval. $0.00 means every request is approved by hand. | $0.00 |
| Every item needs a budget category | Blocks items with no category. | Off |
| Every item needs a product link or part number | Blocks vague items nobody can buy. | Off |
| Every request needs a needed-by date | Makes the date required. | Off |
| Track receipts on orders | Off hides receipt uploads in Orders. Always on for fiscally sponsored teams. | On |
| Require a receipt to mark an order as placed | The placer must attach the invoice or confirmation. | Off |
| Approving past a category's budget | Allow it, Warn the approver, or Block the approval. Only categories with an allocation are checked. Block also stops auto-approval into an overrun. | Allow it |
| Only allow items from an approved vendor list | Pick the vendors your team may buy from. Pick none and there's no restriction. | Off |
Expenses
| Setting | What it does | Starts as |
|---|---|---|
| Let any member log an expense | Off means only budget managers can; everyone else files an order request. | On |
| Receipt required | Never, Over an amount, or On every expense. | Never |
| Large expenses need a manager to sign off | Over the amount you set, an expense doesn't count against any budget until a manager approves it. | Off |
The whole Expenses page can also be switched off under Team Settings > Features.
Reimbursements
| Setting | What it does | Starts as |
|---|---|---|
| Allow expenses to be filed as reimbursements | Off removes the out-of-pocket option for teams that pay people back another way. | On |
| File within ... days of the purchase | Claims older than this are refused. 0 means no deadline. | 0 |
| Largest single reimbursement | Claims above this are refused. 0 means no cap. | 0 |
A manager recording money that was actually paid back is never blocked by these limits.
Alerts
- Warn budget managers at: a percentage of a category's allocation. The warning goes out once per category per season. 0 turns it off, which is where it starts.
- Hold the "ready to place" digest for: how many minutes after approval to wait before telling your order placers. It starts at 15.
Closed seasons
The Closed seasons panel locks a finished season. See how budgets and seasons work for what that does.
Only on fiscally sponsored teams
Two more panels appear once fiscal sponsorship is live: Public ledger, which publishes donations and purchases with a running balance, and Sponsorships, which can file paid sponsors into your sponsor list.
