How do finance reports and the money-flow chart work?

Last verified October 18, 2026

Finance > Reports shows one season's spending broken down by category, month, vendor, subsystem and member, with a money-flow chart that draws where the season's money came from on the left and where it went on the right. You can download the spending as a CSV and the chart as a PNG.

You need: View finances

Open a report

  1. Go to Finance > Reports.
  2. If your team has more than one season, pick one with the season picker. It defaults to the current one.

Everything on the page covers that one season.

What's on the page

  • Total spent, with the percentage of your allocation used if you've set allocations.
  • Open orders: how many orders are still in progress and how much money they've committed.
  • Money flow (called Fiscal sponsorship flow on a sponsored team), described below.
  • Budget burn: spending against the total allocated, in red with the overage once you go over.
  • Open orders by status, with the committed total.
  • Spend by category and Spend over time, a bar per month.
  • Spend by vendor, Spend by subsystem and Spend by member.

Spending here means order items that were actually ordered or received, plus approved expenses. On a fiscally sponsored team it's the real card charges plus cash and personal expenses, so the total matches your account. A purchase tagged with two subsystems is split evenly between them.

Reading the money-flow chart

The chart has three columns. Money in is on the left, the middle bar is the season's pot (Team funds or Fiscal account), and money out is on the right. Band thickness shows the amount. Hover a band to highlight it.

Left side, standalone teams: income you logged, grouped by source (Sponsorships, Fundraisers, Grants, Member dues, Donations, Other income), plus your starting balance and anything rolled over from last season.

Left side, sponsored teams: the same, plus Donations received, Sponsor allocations and any positive ledger adjustments from the account.

Right side: spending by budget category. Sponsored teams also see Platform fee and Card fees as their own outflows. Donations are drawn at their full amount, with the platform fee shown on the out side.

Two extra bands keep both sides equal:

  • Unspent: more came in than went out.
  • Unfunded: more went out than was recorded coming in. You'll see this a lot if your team doesn't log income, because then there's nothing on the left to balance the spending.

Exporting

  • Export CSV at the top of the page downloads every spending row for the season as finance-report.csv.
  • Export PNG on the money-flow chart saves the chart as an image, ready for a sponsor update or an awards submission.
