How do I set up the Robolyst Discord bot?

Last verified October 18, 2026

Open Settings → Discord, press Connect Discord and add the bot to your server, then pick a channel for each kind of post. Every member then links their own Discord account from their account page so the bot knows who they are.

You need: Manage settings permission in Robolyst, and Manage Server in Discord

The bot turns each task into a forum post, brings thread replies back as task comments, and posts other team updates to channels you choose. Members can also run slash commands like /task new, /next and /order request.

Before you start

  • Make a forum channel in Discord for tasks (Channels → New → Forum). Checklists also need a forum channel; it can be a second one.
  • Make a private channel for leads if you want budget alerts and approvals kept out of the main chat.

Connect the server

  1. Go to Settings → Discord.
  2. Press Connect Discord and pick your server in the Discord window. You need Manage Server there to add a bot.
  3. You come back to Robolyst with a "Discord server connected." banner.

Choose channels

The Channels panel lists one row per kind of post. Each row saves as soon as you change it.

RowChannel typeWhat lands there
TasksForumOne post per task, replies become comments
AnnouncementsTextTeam announcements
ScheduleTextMeeting and competition reminders with RSVP buttons
Match resultsTextYour results on competition day
ChecklistsForumOne post per checklist run
OrdersTextOrder requests with approve and reject buttons
Leads onlyTextBudget alerts, receipt nags, approvals waiting

Leave a row on Don't post to skip it. The second picker on each row sets a ping (No ping, @everyone, @here or a role). If a row shows a warning that the bot can't post, open that channel in Discord, go to Edit Channel → Permissions, add the Robolyst role, then reload the page.

Which events reach Discord at all is set on Notification defaults.

Behaviour

Tick or untick these in the Behaviour panel, then press Save:

  • Bring thread replies back as task comments
  • Mention assignees in the thread when a task is theirs
  • Archive the thread when the task is done
  • Create Discord scheduled events for meetings and competitions
  • Keep Discord roles in step with Robolyst roles (off by default)

Role sync also needs the Roles panel filled in: point each Robolyst role at a Discord role. The bot can only hand out roles that sit below its own role in your server's role list, and it never touches roles you didn't map.

Get the team linked

The Get your team in panel has a permanent invite link the bot made for your server. Share it. Being in the server isn't enough, though. Each member has to press Link Discord on their account page. Until they do, commands answer with a link prompt, they get no mentions on their tasks, and role sync skips them. The panel shows how many members have linked and who is still missing.

Check your setup

Run /setup in your server. It checks the bot's permissions and tells you what is missing. /robolyst shows which team the server is connected to.

Disconnecting

Disconnect in the Discord server panel stops all updates. Existing threads stay in Discord, but Robolyst forgets which task each one belonged to.
