How much storage do we have, and what counts against it?
Last verified October 18, 2026
Every team gets 5 GB, shared by everything uploaded anywhere in the portal. Library files, photos in entries, tasks and the wiki, and website images all count. The same file uploaded twice only counts once.
Find your cause fast
- Upload refused with "Your team has used … of its 5 GB"? You're full. Delete unused files under Library > Files or Images.
- Can't delete a file? It's still in use somewhere. Remove it there first.
- Image rejected? Images must be JPEG, PNG or WebP and 5 MB or smaller.
- Other file rejected? Files must be 24 MB or smaller, and web pages, scripts and SVGs can't be stored.
See where you stand
Go to Library > Overview. The Storage panel shows how much of your 5 GB is used, split into images and other files, plus what's free.
At 80% a warning appears on the Overview, Files, Images and Export pages. At 100%, nothing new can be uploaded anywhere in the portal until something is deleted.
What counts
Everything your team uploads lands in one team library, and the whole library counts. That includes:
- files and images uploaded on the Files and Images pages
- photos in documentation entries, tasks and wiki pages
- your team website, sponsor logos, team profile, robot photos, portfolio and open source downloads
- outreach photos and 3D print files
- files members hand in through member fields, even though those don't show in the library
Event gallery photos on public event pages are stored separately and don't count.
If someone uploads a file your team already has (the exact same bytes), the portal reuses the copy you already paid for. Using one logo on the website and in three entries costs you one logo.
Free up space
The Where files are used panel on the Overview lists each part of the portal and how much it holds. A file used in two places shows up in both rows, so the rows add up to more than your total.
The last row, Not used anywhere, is the part you can delete straight away. Click it to open the Files page.
A file that's still in use can't be deleted from the library. Remove it from the entry, task or page that uses it first, then delete it.
Who can upload and delete
| Action | Permission |
|---|---|
| Upload, rename, file or delete images | Manage team images |
| Upload, rename, move or delete other files | Manage team files |
| Download files, or pick an existing image while writing | Anyone on the team |
Owners and the starter Manager role have both permissions by default. Photos added directly inside an entry or task don't need either one.
