How do subsystems organize our docs?

Last verified October 18, 2026

A subsystem is a label for one part of the robot or team, like Drivetrain or Outreach. Tag entries with it, then filter the journal or switch to the Board to read each subsystem's work in design-stage order. Tasks use the same list.

What a subsystem is

Subsystems are your team's own list of the parts you work on. You name them, colour them and put them in order. The same list is shared by Documentation and Tasks, so a "Drivetrain" task and a "Drivetrain" entry line up.

Entries carry two more label sets next to subsystems:

LabelWhat it saysExample
SubsystemWhich part of the robot or teamIntake
TypeWhat kind of entry it isBuild day, test
StageWhere the design isPrototype

An entry can have more than one of each.

Tag an entry

Open an entry and pick chips under Subsystem in the panel beside the text. Chips stay grey until they're on. If the list is empty, it says None set up yet.

Read one subsystem's story

On the Documentation page, tick a subsystem under Subsystem in the filter column. Once a subsystem, type or role filter is on, the journal stops grouping by week and groups by Stage instead, earliest stage first. That turns a season of entries into the iteration history of one mechanism, which is what judges want to follow.

The Board view shows the same thing for every subsystem side by side:

  1. Switch the view toggle at the top of the journal to Board.
  2. In the filter column, use Columns to choose what the board is cut by: Subsystem, Type, Stage, Role or Award.
  3. Drag a card to another column to retag it. With the keyboard, focus a card and press Alt plus the left or right arrow.

Entries with nothing set land in a "No subsystem" column, which makes gaps easy to spot.

Filters live in the page address, so you can send a filtered journal as a link or keep it as a saved view.

Add, rename or reorder subsystems

You need the Manage tags permission. Owners and the starter Manager role have it by default.

  1. Go to Settings > Tags, or click the gear next to Subsystem in the Documentation filter column.
  2. Choose Subsystems on the left.
  3. Type a name in New subsystem name… and click Add. Use the colour dot to recolour and the arrows to reorder.

Deleting a subsystem removes it from every task and entry that carries it. The entries themselves stay.
