Where are our fiscal documents?
Last verified October 18, 2026
Under Money > Documents. Your team's fiscal sponsorship letter, signed agreement and any fee notices are under Issued to team, and the Foundation's own paperwork (IRS determination letter, W-9, Form 990 and more) is under The Foundation.
You need: View finances permission, on a team whose application has been approved
Open the page
- Open Money in the sidebar.
- Click Documents.
The page opens as soon as the Foundation approves your application, before the agreement is signed, so you can send paperwork to sponsors right away. Click Open on any document to view or download it.
The top of the page lists the Foundation's legal name, EIN, tax status and registered address, each with a copy button.
Issued to team
| Document | What it's for |
|---|---|
| Fiscal sponsorship letter | A letter on Foundation letterhead naming your team, confirming it operates under the Foundation's 501(c)(3), with the EIN. It's what shows the determination letter applies to you. |
| Signed sponsorship agreement | Your agreement, signed by your team leader (and parent, if needed) and countersigned by the Foundation. Filed here automatically once it's countersigned. |
| Other | Anything else the Foundation issued for your team, such as fee notices or a previous version of your agreement. |
If a row says Ask the Foundation, that document hasn't been uploaded for your team yet.
The Foundation
Only documents that have been issued are listed here.
| Document | When you'd send it |
|---|---|
| IRS determination letter | A donor, grant portal or company matching program wants proof of tax-exempt status |
| Form W-9 | A company or vendor needs it before it can pay the Foundation by check or ACH |
| Most recent Form 990 | Corporate giving portals often want the latest annual return before releasing a grant |
| Sales tax exemption certificate | Give it to a vendor at checkout so the order is billed without state sales tax. It only covers the states listed on it. |
| Certificate of insurance | A venue or school asks for proof of general liability coverage before an outreach event |
| Certificate of good standing | Some grant applications ask for it with the determination letter |
| Bylaws and board list | Larger foundations sometimes ask; most sponsors never will |
The agreement says the Foundation doesn't insure your team, its members, events, travel or property (Section 12). Ask before you hand an insurance certificate to a venue.
