How do I link tasks to a meeting agenda?

Last verified October 18, 2026

Open the event on the Schedule and use its Task agenda section to add a new action item or pull in an existing task. Linked tasks show on the event with a checkbox, and each task shows the meeting it came from.

You need: Manage tasks permission (the Default role has it)

Every event on the schedule has two agendas. The written Agenda says what the meeting is about. The Task agenda lists the tasks that have to come out of it.

Add a new action item

  1. Open Schedule and click the event.
  2. In Task agenda, type into Add an action item… and click Add.

The new task is linked to the event and due on the event's day. It shows up on the Tasks page like any other task.

  1. Open the event and find Task agenda.
  2. Choose a task from Add an existing task….
  3. Tick Set due after this meeting if you also want its due date moved to the meeting's day. Leave it unticked to keep the current due date.
  4. Click Add.

Under that, Due around this event may suggest up to three open tasks that aren't linked yet: ones due within three days of the event, or overdue by up to a week when the event is still ahead. Click the + next to one to link it without changing its due date.

Working through the agenda

The header shows progress, like "2/5 done". Tick a task's checkbox to move it to your team's Done status, and untick it to send it back to your first status. Click a task's name to open it on the Tasks page.

The written Agenda comes from the Agenda (optional) box when someone creates or edits the event. It's plain text and isn't connected to tasks.

From the task's side

A linked task shows a From meeting section in its panel with the event's name. Click the name to jump to the event, or Unlink to remove the connection. The task itself stays.
