How do I log outreach and count people reached?
Last verified October 18, 2026
Open Reach > Outreach and click Log outreach. Each entry is one occasion with its own count, filed under one of four channels. Outreach events on your schedule show up under Waiting on a number once they've happened, so you can fill in who they reached.
You need: Log outreach (everyone can view the numbers by default)
Outreach lives at Reach > Outreach in Team Management. It has three tabs: Log, Planning and Partners. Use the season menu next to the tabs to switch seasons.
The four channels
The cards at the top total each channel separately. They're never added into one number, because a website view and a person at a demo aren't the same kind of reach.
| Channel | What to count |
|---|---|
| In person | Demos, workshops, camps, parades. Anyone you stood in front of. |
| Digital | Website views, video plays, social reach. |
| Media | Newspaper, radio and TV coverage. Use the outlet's stated audience. |
| Donation & kits | Kits, parts and money you gave away, counted by who received them. |
Click a card to filter the list to that channel.
Log an entry
- Click Log outreach.
- Fill in What was it, the Date and the Channel.
- For In person and Donation & kits, you can split the count under Who was there (for example Elementary students, Adults & families). The total is the sum. Or leave those blank and type one number in People reached.
- Optionally pick a partner under Who with, add Labels, and note What drove it.
- Tick any Award evidence the entry supports.
- Click Log it.
Log each occasion as its own entry. A weekly club is one entry per week, not one for the season.
Events from your schedule
Any event on your schedule with the outreach type appears under Waiting on a number once it has happened. Weekly events list one row per week, folded under the series name. Click Set people reached to log it. The entry stays linked to the event and shows "from the schedule".
If an event's record wasn't touched after it ran, its entry shows Still correct?. Click it to confirm the numbers without reopening the form.
Edit, delete and organise
Use the pencil to edit an entry and the bin to delete it. Deleting takes its people off the season total. Labels group entries by initiative; anyone with "Manage tags" can create them from the tag button. The same permission manages the audience list used in Who was there.
