How do I make a custom role?
Last verified October 18, 2026
In Settings, open Roles, type a name in the New role box and click the plus button. Then switch on the permissions it should have, click Save permissions, and add members to it.
You need: Owner, or a role with Manage roles
Create the role
- Open Roles. It's under Settings in the sidebar.
- At the bottom of the role list, type a name in New role and click the + button.
The new role is ranked just above Default and starts with no permissions.
Choose its permissions
Permissions are grouped by area: Members, Inbox, Communication, Planning, Finance, Fiscal Account, Public and Administration. Each group has its own switches to turn a whole section on or off at once.
- Switch on each permission the role needs.
- Click Save permissions. Until you do, the bar at the bottom reads Unsaved changes.
You can only grant permissions you hold yourself. A Build Lead role, for example, might get Manage tasks, Manage checklists and Run the print queue, and nothing from Finance.
Set the details
- Use this role to assign work: makes the role show up when picking who a task, meeting or announcement is for. Turn it off for roles that are only about permissions.
- Colour: the dot shown next to the role.
- Lead: optional, the person who leads it.
Give it to people
In the Members panel beside the editor, click Add member and pick someone. You can also do it from the Members page with the Add chip on a person's row. Only people with an account can hold a role, so placeholders can't.
Rank and order
Use Move up and Move down under the role list. Rank matters: nobody can give out, edit or move a role at or above their own.
Rename or delete
Edit the name in the role header and click Rename. Delete removes the role from everyone who holds it, after a confirmation. Owner and Default can't be deleted. Manager can.
