Who can see our finances and order amounts?

Last verified October 18, 2026

Out of the box, everyone on the team can see the finance pages, prices on orders, and every order request, because the Default role grants all three. To close them, turn those permissions off on Default in Settings, then Roles, and give them back to the roles that need them.

You need: To change it, Owner or a role with Manage roles

The permissions that decide it

PermissionWhat it opensDefault role
View financesFinance overview, budgets, expenses, reports, balance, donors and the reimbursement queueOn
See dollar figures on ordersPrices and totals on the order queueOn
See all ordersEvery member's requests, not just your ownOn
See who raised whatThe per-member board on FundraisingOff
Manage budgetsSeasons, categories, income and finance settingsOff

Some permissions include others:

  • Anyone with Manage budgets can see the finance pages and the full fundraising board.
  • Anyone who can see the finance pages also sees prices on orders.
  • People with Approve & place orders always see every order and its amounts, since they can't decide a queue they can't read.
  • Everyone can always see their own order requests.

Close finances to most of the team

  1. Open Roles and select Default.
  2. Under Finance, turn off View finances. Turn off See dollar figures on orders too if members shouldn't see prices, and See all orders if they should only see their own requests.
  3. Click Save permissions.
  4. Select the role that should keep access, such as Manager or a Treasurer role you've made, switch the same permissions on, and save.

Members can still request parts. They just won't see what other people asked for, or what anything costs, unless their role allows it.

Places amounts show up outside Finance

  • Discord: whether order posts in your Discord include amounts follows what the Default role can see, because everyone in the channel reads them.
  • Export: a member's export only includes amounts and finance data their own permissions allow.
